Before Movex – planning in 52 spreadsheets

Christian remembers how he used to flip through an Excel spreadsheet every week while physical loading and unloading slips were piled up in binders. When a driver got sick or an extra customer showed up in Frankfurt, handwritten changes and text message chains were needed to keep everyone up to date.

Results – more control, fewer phone queues

After eighteen months with Movex, Barks notices the difference every day. With everyone having the same real-time view, Christian can plan more aggressively without fear of double bookings. "Previously, two large jobs could end up on the same day just because a colleague and I had each entered them separately in our own Excel spreadsheets," he says.

The mobile app means that drivers no longer have to deal with long text message threads and can instead focus on driving using the map view. They can see two weeks ahead right in their pocket, know exactly when they need to load in Kalmar and unload in Cannes, and can update the customer at the touch of a button. This has reduced the number of calls to the office "by at least an hour a day," according to Christian.

Digital signatures quickly became a requirement, not just a convenience. Customers sign off on the work on their phones, while the driver simultaneously photographs any damage and uploads packing lists as PDFs. For international assignments, Barks still receives a large stack of paper from its partners—customs documents, insurance letters, and other attachments—but now it is enough to scan and upload everything as PDFs in Movex. Instead of binders, everyone knows that they can find the right document directly on the order in the system.

Finally: payroll and invoice flow. When a week's work is complete, the times are sent to Fortnox without a single cut and paste. "It was an eye-opening experience the first month; we didn't have to chase anyone for time reports. Everything was already there. Now our big job is to make sure we chase our staff so they actually record their times too."

In summary, Barks has transitioned from paper filing to a fully digital workflow that scales up during peak season without overwhelming the office with administrative tasks.

Season peak without extra stress

From May to October, the number of staff in the field almost doubles. Previously, this meant that printouts tripled and schedule sheets became crowded. Now, scaling up is plug-and-play: new summer temps receive a short onboarding pass in the Movex app and can then view the driving schedule, clock in their hours, and receive their paychecks without any extra input from the office.
